Job Description
Brook Street (UK) Ltd are recruiting a Admin Officer Administrator for our leading Public Sector client Intellectual Property Office, Newport Office.

Join the Intellectual Property Office (IPO) as a Document Reception Admin Officer and become part of a supportive and innovative organisation dedicated to delivering excellent services. What You'll Be Doing:
- Sort and dispatch (unopened post), including London filings, to ensure dating of documents are following the Act & Rules. - in office
- Oversee the smooth running of the mailbox system on a daily rota basis, ensuring all emails received are correct.
- Carryout a non-technical examination of documents to ensure correct filing dates are accorded in compliance with the Act and Rules
- Examine documents and ensure fees are allocated in accordance with the Terms and Conditions, Deposit Accounts and appropriate statutory instruments.
- Action Credit / Debit card payment requests.
- Process fees on the fee bearings forms filed under UK and International Legislations
- Log all relevant forms onto COPS, notifying Index and Scanning when complete.
- Find allocation of both fee and non-fee bearing patent forms and documents
- Log and forward later filed docs received electronically (Pdax)
- Deal with telephone and emailed queries relating to filing dates, fees and customer accounts from both internal and external customers.
- Issue receipts for new Patent applications after data capture and checking that the application complies with Section 15 of the Act and prepare paper filed applications for security check.
- Deal with and resolve queries in the mailbox.
- Contribute to the IPO's hybrid working model by attending site as required and collaborating with your team via Teams calls and meetings. 2 days working in the office, 3 days WFH per week.
- Engage with the IPO's Transformation programme by attending relevant meetings, activities, and feeding back to your team.

As the successful Application you must be able to demonstrate:
- Strong organisational skills and attention to detail.

- A commitment to continuous improvement and a customer-focused approach.
- Excellent communication skills, both written and verbal.
- 5 GCSES - Maths and English
- Reliable with a good attendance record
- A previous Finance background is desirable but not essential
The rate of pay is £13.90 per hour, the hours of work are 37hrs Monday to Friday
