Requirements:
- Minimum one year's experience in Administration.
- GCSE Maths and English or equivalent qualification.
Key Responsibilities:
- Carry out the full range of outpatient reception duties, including meeting and greeting patients and performing all associated computer work, such as making review appointments.
- Arrange appointments for patients, which includes telephoning them as required, issuing appointment letters, adding patients to the outpatient waiting list, recording reviews, and managing all administrative processes related to appointments, including booking interpreters and ambulances.
- Ensure the security and confidentiality of all patient records and information.
- Retrieve and prepare clinical records for outpatient and inpatient attendances and other hospital activities.
- Prepare casenotes for primary filing and assist in filing duties as required.
- Ensure all information held, both manually and electronically, is accurately recorded, securely held, and kept up to date.
- Deal with general enquiries regarding casenote retrieval and storage issues while liaising with various staff members regarding these matters.
- Operate the Patient Administration System (PAS), Patient Centre computer database, and any other required information systems to assist in the performance of duties.
- Use Microsoft Office packages as required to fulfil the duties of the post.
- Assist in maintaining casenotes and casenote folders to meet quality standards. File documentation according to departmental protocol, ensuring all files are organised and fit for purpose.
- Perform general office duties including filing, photocopying, scanning, and managing incoming and outgoing post.
- Support archiving and storage projects as directed.
- Handle telephone/face-to-face enquiries from patients, staff within the Trust, those outside the Trust, and members of the public in accordance with customer service standards, Trust policies, procedures, and Data Protection regulations.
- Undertake any other ad hoc administrative and clerical duties as required from time to time.
- Comply with Infection control guidelines and the Trust dress code.
Working Hours:
37.5 hours per week, Monday to Friday.
