One of the core functions of ATE is its Inspectorate function, which supports local authorities across the country to develop high quality, safe active travel infrastructure. As the Inbox Manager & Administration Officer you will provide crucial support to the Inspectorate division and will need to be highly organised and adaptable, flexing to the demands of the work whilst ensuring that business critical tasks are completed to deadlines.
You will play an essential role in ensuring that all correspondence coming into Active Travel England for the attention of the Inspectorate is dealt with professionally and punctually, whilst also providing administrative support on day-to-day corporate activities.
Duties and responsibilities
- Oversee the management of the Inspectorate designated internal inbox, working with Inspectors and the ATE Correspondence manager ensuring that all Inspectorate correspondence is received in the internal inbox and responded to appropriately in a punctual timeframe.
- Keep the Inspectorate inbox in good order, ensuring that information is retained as appropriate and can be accessed with ease as and when necessary.
- Ensure that corporate messaging is cascaded appropriately across the Inspectorate division, and activities are completed in accordance with the Business Rules.
- Handle sensitive information with discretion and confidentiality.
- Work across the Inspectorate division to provide support on tasks which could include corporate reporting, financial reporting and payments, performance management, directorate communications and other core corporate functions.
- Build strong working relationships with key colleagues in the Inspectorate division and more broadly to ensure you can support senior leaders as well as making cross-team connections.
- Contribute to the efficient running, resource prioritisation and resilience of the team, directorate, and the wider agency.
- Escalate urgent correspondence, tasks or issues as necessary.

Knowledge and experience
Significant demonstrable experience of working in an administrative / support role
- Significant demonstrable experience of using Microsoft Office Applications, Microsoft Windows, Email and the Internet. (Intermediate level.)
- Experience using Power Automate, Oriel and/or TIS.
- Experience of organising and running meetings and events including minute taking
- Experience of working in a diverse and complex organisation
- Experience of working in a team environment
- Experience of working to set protocols and procedures
- Experience of working to deadlines
- Experience of effectively communicating routine information using clear and appropriate formats
- Previous experience working in the NHS or training and education environment
- Understanding and knowledge of database systems. Responsible for maintaining one or more information systems such as a database, eportfolio, etc.
