Exciting Administrative Opportunity for Higher Clerical Officer in Adult Mental Health Services!

Requirements:

  • Minimum one year's experience in Administration.
  • GCSE Maths and English or equivalent qualification.

Key Responsibilities:

  • Provide Secretarial Support: Deliver full secretarial support to the team and other professionals, including ward inpatient staff and the crisis service manager.
  • Diary Management: Maintain diaries, arrange appointments, venues, travel arrangements, and hospitality, including minute-taking.
  • Office Organisation: Organise the office and perform routine secretarial duties such as developing an efficient filing system, mail distribution, photocopying, and ensuring relevant files are ready for meetings.
  • Mail Handling: Open and record incoming mail, direct correspondence for the team, and draft routine letters for signature.
  • Communication Facilitation: Liaise with relevant staff to facilitate communication within the department; handle telephone calls and inquiries appropriately.
  • Documentation Preparation: Type letters, memorandums, and minutes; possess high-level word processing skills and proficiency in Microsoft Office software.
  • Presentation Support: Assist in producing PowerPoint presentations required by the department.
  • Administrative Support: Provide administrative assistance in producing policies and reports within the department.
  • Staff Supervision: Supervise clerical staff if required by the post.
  • Stock Management: Manage stationary stock levels throughout the department using stock catalogues and requisitions to maintain adequate stock levels.
  • Database Management: Update/search information on client databases (Paris/Socare) as required.
  • Statistical Collection: Contribute to the collection and collation of statistical information regularly.
  • Petty Cash Management: Operate a petty cash system as required, adhering to Trust policy.

Working Hours:

  • Band 3 - Monday to Friday, 9 am to 5 pm. Rate of pay is £11.67 per hour, paid weekly.
