Job Title: Band 2 Health Records Clerk
Location: Trustwide, Health Records Department
Job Summary:
The post holder will provide an efficient and effective clerical service using a range of technology within their allocated work area. The post holder will liaise with a range of people, including patients/clients, members of the public, staff within the Trust, as well as external agencies to ensure an accurate, smooth running, and comprehensive service
Full-time Hours: Consistent work schedule of 37.5 hours per week
Temporary Opportunity: Initial 3-month temporary position with the potential for extension.
Contribute to Patient Care: Ensure patient notes are available where needed to support patient care
Team Environment: Work as part of a team to maintain patient case notes following manual and electronic processes
What You'll Do:
Operational Delivery: Carry out a full range of duties, including meeting and greeting patients and all associated computer work, e.g., making review appointments
Appointment Management: Arrange appointments for patients, including telephoning patients as required, issuing appointment letters, adding patients to the outpatient waiting list, recording reviews, and all administrative processes involved in the making and follow-up of appointments, including booking interpreters and ambulances
Record Management: Retrieve and prepare clinical records for outpatient and inpatient attendances and other hospital activities. Prepare case notes for primary filing and assist in filing duties as required
Data Management: Ensure all information held both manually and electronically is recorded accurately, held securely, and kept up to date.
Enquiries: Deal with general inquiries regarding case note retrieval and storage issues and liaise with a variety of staff regarding these.
System Operation: Operate the Patient Administration System (PAS), Patient Centre computer database, and any other required information systems to assist in the performance of duties.
Office Duties: General office duties to include filing, photocopying, scanning, and dealing with incoming and outgoing post. Support archiving and storage projects as directed.
Customer Service: Deal professionally with telephone/face-to-face inquiries from patients and staff within the Trust, those outside the Trust, and members of the public, in accordance with customer service standards and Trust policies and procedures, and in line with Data Protection
Confidentiality: Ensure the security and confidentiality of all patient records and information
What You'll Bring to the Table:
Qualifications: Minimum of 5 GCSEs, which must include English and Mathematics
Skills: Basic keyboard skills , understanding and maintaining of filing systems , working knowledge of Microsoft Office, i.e., Outlook, Excel, and Word
Aptitudes: Pleasant manner and good communication skills , accuracy & numeracy
Abilities: Able to prioritise and manage own workload , be able to work fast and efficiently and in a safe manner , ability to work independently and in a team
Additional Information:
Comply with Infection control guidelines and the Trust dress code
Undertake any other ad hoc administrative and clerical duties, as may be required from time to time
